  • We are seeking an Executive Assistant to support a senior partner in daily operations, administrative duties, and personal tasks. The ideal candidate is a detail-oriented, persistent, and resourceful person who excels in a fast-paced environment. By anticipating the partner’s needs and ensuring that priorities are met, this individual will play a pivotal role in driving efficiency, maintaining organization and structure, and contributing to the overall growth and success of the business.

  • Key Responsibilities

    1. Calendar and Schedule Management: Oversee professional and personal schedules, organizing meetings, tasks, events, and travel.

    2. Communication Handling: Screen emails, calls, and messages, responding on behalf when appropriate and ensuring important and time-sensitive information reaches the right parties.

    3. Meeting Participation and Documentation: Attend meetings, assisting with the preparation of supporting documents and agendas. Prioritize and follow up on action items to ensure completion.

    4. Document Preparation and Reporting: Assist in preparing and updating spreadsheets, reports, and presentations for key stakeholders, including investors, bankers, and partners.

    5. Coordination with External Partners: Collaborate with legal teams, engineering firms, homebuilders, and service providers to ensure timely project execution.

    6. Legal Document Facilitation: Support the creation and organization of contracts, agreements, deeds, and other legal paperwork.

    7. Project Management and Deadline Tracking: Prioritize key projects, maintain timelines, and track deadlines.

    8. Process Improvement: Develop, implement, and refine organizational processes and systems.

    9. Real Estate Assistance: Aid in managing real estate activities, including rentals, sales, renovations, and related administrative tasks.

    10. Personal Assistance: Support with personal tasks as needed to help maintain a balanced workload.

    Skills and Traits

    1. Handle confidential information with discretion and professionalism.

    2. Adapt quickly to changing circumstances, and approach tasks with a flexible mindset.

    3. Ability to take proactive action and make informed decisions, often in situations where information is incomplete or ambiguous.

    4. Ability to focus and maintain productivity in a small office environment.

    5. Efficiently balance multiple projects and tasks, prioritizing effectively to meet deadlines and achieve goals.

    6. Display a willingness to learn and independently research, providing the necessary insights for informed decision-making.

    7. Possess an understanding of legal language and be at ease reviewing and interpreting contracts and similar documents.

    1. 3+ years in an executive assistant, administrative, or similar role.

    2. Experience supporting executive-level leaders in a high-stakes environment.

    3. Familiarity with finance, real estate, or legal documentation is a plus.

    4. Proficient computer skills, including operating a Google Apps-based environment, Slack, Excel, word processing, etc.

    5. Excellent written and verbal communication skills.

    6. Ability to relate positively with various workplace relationships – i.e., Thousand Hills Co. employees, investors, customers, bankers, governmental representatives, vendors, residents, and more.

    7. Ability to work with minimal supervision – must be highly motivated and self-directed.

    8. Understand and adhere to organizational policies and procedures.
